TITLE: Marketing Assistant
General Description: The Global Services Marketing Assistant is responsible for the day to day coordination of logistics and support for the Global Services department. This includes assisting with conferences, marketing communications, mailings, telemarketing, marketing materials and supplies, collateral, travel, regional information sessions, and visitor web site maintenance.
Responsibilities include:
Coordinating and scheduling local and national conferences to include:
Booking conferences
Managing and coordinating speaking presentation proposals
Arranging travel for VHS staff attending state and local conferences
Coordinating logistics for events including packing and shipping of conference materials
Supporting pre-conference marketing communication
Tracking, reporting and maintaining travel and conference expenses and providing summary reports as needed
Managing and maintaining marketing communications materials to include:
Providing regular updates to marketing materials and sales collateral to ensure all materials are up to date
Managing marketing support materials inventory and providing recommendations on order items on an as needed basis
Assisting Global Services Director with the creation and development of new marketing support resources
Assisting Global Services Director with obtaining bids and quotes from various print and marketing providers for existing as well as new materials
Maintenance of the VHS visitor website to include:
Updates to all pages that have date sensitive information and registration pages
Updates to conference and event pages to ensure most current schedule
Updates to regional information session schedule pages
Updates to Global Services Webinar schedule pages
Management of requests related to visitor public web pages
Other Marketing Support:
Oversight of logistics for regional information sessions to include:
Communication with prospective schools
Identification of dates and setting schedules
Coordination of food and materials for sessions
Arranging VHS Staff travel to and from sessions
Coordinating mass mailing and email blast invitations through “Constant Contact”
Maintaining and updating attendee list
Telemarketing outreach to prospective guests
Generation of weekly and monthly sales force reports.
Other Assignments as Needed.
QUALIFICATIONS:
Strong verbal communication skills
Must be detailed-oriented with excellent written communication and proofreading skills
Project management experience and the ability to manage multiple projects at once
Positive customer-first attitude
Computer proficiency - a working knowledge of MS Office and Lotus Notes preferred
Enthusiastic self-starter with sound judgment and the ability to problem solve
Ability to work in a highly interactive team environment
Bachelor's degree in Business or Marketing preferred.
